What this role is

An experienced individual contributor who handles complex land research, lease documentation, and right-of-way records for energy or mining projects. At the Lead Support Specialist (S4) level, the role owns team process and quality, cross-case patterns and process gaps, and drives team-level quality and efficiency. Mentors and coordinates the support team.

What this level does

  • Adapt title-research and documentation procedures for unprecedented parcels — fractured mineral interests, unrecorded easements, conflicting surveys — determining the research path with no established method
  • Resolve records and documentation conflicts across Lease Records, Division Order, and Regulatory files, reconciling inconsistent ownership or acreage before transactions proceed
  • Interpret federal, state, and local right-of-way and recording requirements to adjust document packages and filing steps for a new jurisdiction or agency
  • Serve as working lead on land-support tasks for a project team, reviewing junior staff's run sheets and agreement packets and correcting research and documentation errors
  • Build and maintain the parcel data and GIS records structure for a project, ensuring acquisition documents and records stay reconciled through recording
Knowledge applied
Extensive knowledge of land-records administration enough to adapt research and documentation methods for unprecedented parcels and new jurisdictions.
Complexity & problem solving
Understands acquisition implications; recommends new research paths and reconciles cross-departmental records conflicts resourcefully.
Collaboration & interaction
Determines methods for new assignments; may informally guide junior support staff and review their work as a working lead on land tasks.
Typical experience
4–6 years; advanced land-support experience.

Skills at this level

Title Research & Chain of Title
Traces ownership through recorded deeds and courthouse indexes, building run sheets that document chain of title with instrument numbers and recording dates to confirm who holds the parcel.
Run Sheet & Ownership Report Preparation
Compiles run sheets, property reports, and mineral-ownership and lien listings for a project tract, presenting research findings in the format acquisition agents rely on.
Liens, Minerals & Easement Identification
Reads legal descriptions to identify existing liens, mineral interests, and prior easements affecting a parcel, and flags encumbrances that could impede acquisition.
Easement & Access Agreement Documentation
Assembles and drafts easement, temporary-workspace, and access-agreement documents from standard forms, populating legal descriptions, parties, and compensation figures for agent review.
Digital Title Verification
Uses digital title-verification systems to check property ownership records and reconciles discrepancies against source deeds so access rights for infrastructure projects are accurate and timely.
GIS Parcel Records
Enters and maintains parcel data, ownership, and easement layers in GIS so land records stay reconciled with acquisition documents through recording.
Right-of-Way Regulatory Literacy
Applies federal, state, and local recording and right-of-way requirements to document packages and filing steps, adjusting for the rules of a given jurisdiction or agency.
Land Records Reconciliation
Cross-checks ownership, acreage, appraisal figures, and legal descriptions across Lease Records, Division Order, and Regulatory files to catch and resolve inconsistencies before transactions proceed.
Landowner Correspondence Handling
Logs and tracks landowner outreach — survey-permission requests, mailings, and signature returns — routing inquiries and maintaining accurate contact and status records per parcel.
Land-Support Procedure Development
Creates and documents standardized run-sheet formats, curative checklists, and document-package standards for adoption across the land-support group.
