What this role is
Senior individual contributor who drives complex, cross-functional operational initiatives and provides expert guidance across non-manufacturing operations. At the Principal Support Specialist (S5) level, the role owns function-wide support practice, program-level and systemic support problems, and drives support strategy across the function. Subject-matter authority; shapes the practice.
What this level does
- Creates and standardizes new operational-support procedures within the specialty (scheduling, inventory control, resource fulfillment, safety-check administration), then trains the team on them and refines them as conditions change.
- Resolves the most complex operational-support issues — cross-cutting failures, systemic data or supply problems — developing new techniques where existing procedures don't reach.
- Acts as the recognized specialist and working lead for the operations-support function, facilitating peer execution and providing authoritative guidance across all routines.
- Owns the integrity and continuity of the operational tracking/records environment, defining how data is captured and reconciled so leadership's decisions rest on reliable operational figures.
- Serves as the point of expertise between operations support and the operations manager/director, translating recurring operational realities into procedure and control improvements.

- 6+ years; expert in the operations-support specialty.
Skills at this level

- Inventory & Supply Level Tracking
- — Records inventory counts, monitors supply levels against par, and triggers standard reorders so staff always have the resources they need to succeed.
- Resource Fulfillment Coordination
- — Receives, prioritizes, and fulfills operational resource requests from staff, sourcing standard items and escalating or expediting non-standard and delayed ones.
- Operational Data Entry & Reconciliation
- — Enters operational transactions and log data accurately into tracking systems and reconciles discrepancies (inventory variances, mismatched requisitions, log gaps) to their source.
- Purchase Requisition & Vendor Records
- — Prepares and checks operational purchase requisitions and vendor paperwork against agreed quantities and pricing, and maintains vendor and procurement records.
- Safety Protocol Administration
- — Runs and tracks completion of standing safety-protocol checklists, follows up overdue items, and improves the check routines to support compliance.
- Operational Reporting
- — Compiles recurring operational status reports — schedule adherence, inventory levels, open requests — into accurate figures that feed managers' day-to-day and leadership decisions.
- Cost-Effective Process Execution
- — Runs standing operational routines in adherence to established policies and procedures while keeping resource use and costs controlled.
- Operational Exception Handling
- — Recognizes when a routine must deviate and applies the established exception procedure — handling stockouts, coverage gaps, and rush requests — escalating only genuinely new situations.
- Operational Procedure Adaptation & Design
- — Adapts existing operational routines for unprecedented situations and, at specialist level, creates and standardizes new operations-support procedures and trains the team on them.
- Task Coordination & Working Lead
- — Sequences and coordinates recurring operational routines and, at senior levels, guides less experienced support staff through difficult cases without holding supervisory authority.
